Foley Hoag LLP seeks an Information Governance Coordinator (Coordinator). The incoming Coordinator will be responsible for working closely with the firm’s Associate Director of Information Governance to support the firm’s Information Governance (“IG”) program by helping manage the organization, retention, security, and disposition of the firm’s physical and electronic records. The Coordinator will assist with a range of IG initiatives and operational processes, including legacy disposition efforts involving destruction of materials pursuant to the firm’s Records Retention Policy, data archival efforts to transition closed materials from less secure repositories to more secure environments, support the firm’s Matter Mobility process, and support the firm’s digitization efforts. The Coordinator will act as a knowledge resource for the firm’s records and IG initiatives and provide additional support to projects as directed by the Associate Director of IG 

Working arrangement & schedule 

This role is hybrid, with three days expected in office and two days work from home. We are currently looking at candidates in Boston, New York City, and Washington, DC however all strong candidates should feel welcome to apply.  

The standard work schedule for this position is 9:00 a.m. – 5:00 p.m. ET. 

Responsibilities 

  • Support the administration of the firm’s Information Governance program across physical and electronic records; 
  • Assist with file management activities, including record intake, organization, transfers, retrievals, releases, and general maintenance of firm information assets; 
  • Help carry out records retention and disposition processes in accordance with firm policy, legal requirements, and business needs, including destruction related requests and legacy disposition projects 
  • Support data archival and related efforts to move inactive or closed materials from less secure or expensive repositories to those of greater security or lesser cost (e.g., azure blob storage); 
  • Assist with the review, tracking, and documentation of records related requests, including data access requests and other internal inquiries; 
  • Coordinate with attorneys, legal support staff, and business service employees to help determine file status, support records projects, and resolve issues; 
  • Support digitization and other efforts that improve the accessibility, organization, and defensibility of the firm’s information governance program; 
  • Coordinate with the firm’s Matter Mobility team to assist on projects related to incoming and departing employees; 
  • Maintain accurate logs, reports, and other documentation related to retention, destruction, file activity, and other projects as appropriate; 
  • Assist with ad hoc Information Governance projects and operational initiatives as assigned by the Associate Director of Information Governance. 

Qualifications 

  • Experience in a law firm conflicts department strongly preferred or other experience in a compliance, regulatory, financial or legal environment; 
  • A general understanding of Records and Information Governance a plus; 
  • Record and Document Management System experience preferred (e.g., iManage or FileTrail); 
  • Exceptional critical thinking and analytical skills; 
  • Acute attention to detail, as well as organizational and research capabilities; 
  • Excellent decision-making skills and demonstrated ability to think on one’s feet; 
  • Ability to work under tight deadlines and be flexible in order to respond quickly and positively to shifting demands and opportunities; 
  • Excellent interpersonal skills and ability to work in a team-oriented and collaborative environment; 
  • Exceptional communication and customer service skills; 
  • Ability to take ownership of multiple tasks and projects and work independently to resolve issues; 
  • Receptive to constructive feedback and ability to accept direction;  
  • Ability to exercise discretion and maintain strict confidentiality of the firm’s confidential information; and 
  • Proficiency with Microsoft Office Suite, as well as web-based systems preferred. 

Compensation range is $63,400 to $79,300 commensurate with related experience and qualification. The salary of the candidate selected for this role will be set based on a variety of factors, including but not limited to internal equity, experience, specialty, and training. The above salary range (or hiring range) represents the firm's reasonable estimate of the range of possible compensation at the time of posting.
