Information Governance

General Purpose:

The Information Governance Analyst plays a pivotal role in supporting our information governance strategy of all client and firm assets. The Analyst assists with departmental system administration, troubleshooting, and problem resolution. Additionally, this role involves managing projects, ensuring effective use of systems, writing and maintaining procedural documentation, and providing training sessions.

Essential Duties/Responsibilities:

1) Electronic Data and Information Management

  • Provides electronic data gathering, reviews, and coordination for file transfers, file destructions and production requests.
  • Performs data transmissions to complete file transfer requests.
  • Systems include, but are not limited to, the Records Management System (“RMS”), Document Management System (“DMS”), fileshare, email, Matter Mobility and Disposition workflows.

2) Departmental System Administration & Technical Guidance

  • Provides technical guidance including unit and integration testing through test plan recommendations and execution.
  • Serves as an authority on Records Department software and acts as the liaison between the IT Department, Records Department, and service providers to address complex records issues.
  • Reviews and writes procedural documentation and training materials for the Records Department.
  • Trains and advises on proper and effective use of new and existing processes and systems for the Records Department.
  • Assists the Records & Information Manager with the implementation of retention schedules.
  • Provides support and assistance to the department for troubleshooting and problem resolution for systems used by the Records Department: RMS, DMS, fileshare, email, Matter Mobility, Disposition workflows and Ethical Wall systems.
  • Provides reports of issue resolution as necessary.

3) Project and Task Tracking/Coordination

  • Manages large-scale, complex, and highly time-sensitive records projects independently with minimal assistance from the Records & Information Manager and remains agile to quickly pivot between projects.
  • Identifies and analyzes complex records issues to recommend solutions.
  • Maintains project and task information in a central location that is visible to those assigned.
  • Provides follow-up for projects and tasks assigned to individuals, teams/groups and departments.

4) Partner Inclusionary Walls

  • Oversees and addresses the majority of assignments for the completion of InTapp requests for partner inclusionary walls or the requests to be added to an already existing wall.
  • Identifies and analyzes complex wall-related issues and coordinates with the IT Department and Ethics Business Intake to find solutions.
  • Partners with users on the correct use and maintenance of documents protected by a wall.

5) Record Destruction

  • Supports the Records & Information Manager to further advance the records destruction plan.
  • Performs the correct processes and procedures for the destruction of electronic and physical records which includes proper approval from loss prevention and/or responsible attorney, processing destruction via the management software, and verifying that the correct metadata was added to the RMS.

6) Other duties as needed to drive the strategic vision, fulfil the mission and abide by the values of the organization.

Job Qualifications (Education, Experience and Certification):

Required: 

  • Five (5) + years of experience in the field of records management, legal preferred; or a Master of Library and Information Science degree or equivalent.
  • Expert level experience with records management software, preferably including FileTrail Governance, iCompli and iManage, and an understanding of the administration of a system. FileTrail Governance experience and implementation of a new system experience is preferred.
  • Strong experience developing business requirements for software implementation and troubleshooting system problems in a systematic way.
  • Strong ability to prioritize tasks, have excellent computer and organizational skills, and attention to detail.
  • Strong ability to work in a team environment among staff and with users and perform well under pressure.
  • Strong ability to work independently with minimal supervision.
  • Strong ability to work effectively in an atmosphere of multiple projects, shifting priorities, and deadline pressures.
  • Substantial familiarity with Microsoft Office products.
  • Excellent analytical skills, including a high level of technical aptitude and interest required.
  • Strong written and verbal communications skills.
  •  Demonstrated leadership in managing small to medium technical projects and strong collaboration skills.

Preferred:

Certification in Records Management (CRM), Certified Records Analyst (CRA), or Certified Information Governance Professional (IGP), preferred. Ability to obtain certification within one year of employment required.

Physical Requirements:

While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.
