Position Summary
Reporting to the Program Manager, Records Management, the Coordinator, Policy and Privacy plays an important role in supporting the Town’s corporate policy framework and privacy and access-to-information functions. This position coordinates the development, review and maintenance of Council and Administrative policies, manages the Town’s policy library, and provides guidance and training to departments on policy processes.
The Coordinator also supports the Town’s access and privacy program, including Freedom of Information (FOI) requests, Privacy Impact Assessments (PIAs), privacy matters and compliance with applicable legislation and best practices.
Responsibilities
- Coordinate the development, review and ongoing maintenance of Council and Administrative policies and procedures, working collaboratively with departments and subject matter experts.
- Support the administration and continuous improvement of the Town’s policy and privacy frameworks, including procedures, templates and related documentation.
- Monitor Council decisions, legislative changes and policy review requirements, coordinating updates to ensure policies remain current, effective and aligned with corporate governance requirements.
- Maintain accurate policy records and manage the Town’s public online policy repository, including communicating new and revised policies and promoting awareness of policy information.
- Provide advice on policy-related matters and coordinate and deliver workshops and training to staff, management and Council on the Town’s policy development and review processes.
- Coordinate and prepare timely responses to access-to-information requests while ensuring the confidentiality of sensitive and protected information.
- Support the Town’s privacy program, including Privacy Impact Assessments, privacy breaches, Information and Privacy Commissioner of Ontario inquiries, appeals, investigations and annual reporting requirements.
- Liaise with Town departments, other municipalities and external parties to identify best practices and opportunities to strengthen the Town’s policy and privacy approach.
- Participate in municipal election preparation and support under the direction of the Town Clerk and perform other related duties as assigned.
Qualifications
- University undergraduate degree in Public Policy, Public Administration, Business Administration, Political Science, or a related field, or an equivalent combination of education and experience. A master’s degree is considered an asset.
- Minimum one (1) year of related experience in the public sector.
- Excellent research, analytical, policy writing and organizational skills, with the ability to manage competing priorities and meet deadlines.
- Excellent facilitation, communication and presentation skills, with confidence presenting information and providing guidance to a variety of audiences.
- Demonstrated discretion, sound judgement and professionalism, particularly when working with confidential or sensitive information.
- Ability to work effectively and professionally with elected officials, staff at all levels, other levels of government and members of the public.
- Proficiency with Microsoft Office applications, including SharePoint, Teams, Word, Excel and PowerPoint. Experience with Power BI, records management, document publishing or related software is considered an asset.
- Valid Ontario “G” driver’s licence in good standing, with access to a reliable vehicle for corporate use.
- Ability to work outside normal business hours, as required.
